From spreadsheet to sprint-ready backlog

The migration everyone recognises: the team planned the quarter in a spreadsheet. A hundred and eighty rows. An epic column, an owner column, a priority column, a due-date column.

Getting that into Jira used to mean choosing between two bad afternoons — clicking “Create Issue” a hundred and eighty times, or fighting the CSV importer's column mapping and fixing whatever it mangled. Either way, the plan that took the team an hour to write takes one person half a day to transcribe.

Three ways to feed a batch

1. Paste structured text

If it is already a list — spreadsheet rows, a numbered outline, a checklist from Confluence — paste it as-is. Indentation becomes hierarchy, inline markers become fields, and the batch is ready to review in seconds. This is the fastest path and it involves no AI at all.

2. Start from a template

For work you create repeatedly — onboarding plans, release checklists, incident response, audit prep — import one of the21 ready-made structures in the Jira template library and adjust it before creating. Templates carry variables for dates, users, and selects, so the same tree adapts to any project.

3. Let AI structure the prose

If the source is prose — a PRD, a strategy doc, raw meeting notes — AI extraction proposes the task tree for you, with owners and due dates it detected in the text. The fields you would otherwise set by hand

Creating the issues is the easy half. The half that eats the afternoon is everything that has to be set on each one afterwards — the owner, the due date, the description body, the sprint. In a batch of three hundred, that is three hundred repetitions of the same four decisions.

So the editor sets them across the batch instead of per issue. Round-robin assignment takes the list of people and the order you want, then spreads the whole batch across them evenly. Sequential dates take a start date and an interval and stagger the due dates down the tree, skipping weekends and the company holidays configured in admin settings.

Descriptions work the same way. Description presets drop a structured markdown body — a user story, a bug report, a test case — into every issue that needs one, with variables you fill once. Anything a preset does not cover goes through the editor's Bulk Edit menu on whatever rows you have selected, and keyboard shortcuts cover the fields you reach for most. Every one of these runs before the batch is created, so the preview table you confirm is the backlog you get.

Why not Jira's CSV importer?

Jira's built-in CSV import does create issues in bulk, and for a flat list of identical issue types it is perfectly fine. It struggles exactly where large batches get interesting: parent-child hierarchy needs manual issue-ID bookkeeping in the sheet, custom-field columns have to be re-mapped by hand on every import, and a failed row can leave you reconciling a half-imported batch against the spreadsheet it came from.
